You’re probably reading this because something just happened with your printing service. The banners arrived two weeks late. The business cards weren’t trimmed correctly. The email from Tuesday still hasn’t been answered by Friday. The invoice has charges nobody mentioned.
And now you’re wondering if you’re overreacting.
You’re not.
Here’s what most people quietly put up with from their print provider for years before they finally pull the trigger and switch. If any of it sounds familiar, take the hint.
1. The Quality Has Gone Downhill
You opened the box. Something was off. The color was duller than the proof. The cut was a hair crooked. One batch looked subtly different from the last. You stood there for a minute, weighing whether it was bad enough to send back. You decided it wasn’t—this time.
You’ve made that decision more than once. And every time you have, your brand has gotten a little less consistent, a little less sharp, a little less yours. Your customers may not be able to articulate it, but they can feel it. This year’s letterhead isn’t as crisp as last year’s. The direct mail piece you just dropped doesn’t quite match the in-store signage.
You shouldn’t have to inspect every job before it goes out the door. You’re paying them to do that.
2. Missed Deadlines
You built the campaign around their timeline. You confirmed the drop date. You confirmed it again. Then they missed it. And now the postcard is landing after the promotion ends, the banner is shipping the day after the trade show opens, or the mailer is hitting boxes a week after the email blast that was supposed to set it up.
You’re the one who has to explain that to your boss. You’re the one whose campaign just produced worse ROI than it should have. They get to say “we had a press issue” and move on.
“We’ll have it Friday” that becomes Monday is one thing. “We’ll have it Friday” that becomes Monday two and three times running is a pattern. And the pattern is telling you you’re not a priority in your own vendor’s queue.
3. Not Answering the Phone
This is the one that finally breaks people.
You sent an email on Tuesday morning. By Thursday, nothing. You called and got voicemail. You left a message. You emailed again. Eventually somebody got back to you, apologetic or not, and the small question you had on Tuesday is now a real problem because of the three days you lost waiting for an answer.
You shouldn’t have to send three emails to get one response. You shouldn’t be the one keeping the relationship alive. A vendor who is hard to reach when things are calm is going to be impossible to reach when something goes wrong—and something always eventually goes wrong.
What You’re Actually Asking For
When you do start looking around, you’ll notice the bar isn’t actually that high. The things that would make you happy are not extravagant:
- Consistent quality, batch after batch, year after year
- Honest timelines, with the discipline to hit them
- A real human contact who responds the same day and knows your account
- Pricing that’s clear up front, with tradeoffs explained instead of buried in an invoice
That’s it. That’s the whole list. The fancier capabilities—variable data, personalization, integrated campaigns—all matter, but they’re meaningless if the basics aren’t there. And the basics, frankly, should not be hard.
